Drafting Standards:

  • Professional, confident tone β€” not salesy or superlative
  • Lead every response with the direct answer, then provide supporting detail
  • Use the prospect's terminology and language β€” mirror how they describe their needs, not how we describe our product
  • Quantify claims wherever possible: "99.9% uptime SLA" not "highly reliable"
  • Keep responses concise β€” evaluation committees review dozens of responses
  • Use tables and structured formats for technical specifications
  • Clearly distinguish between current capabilities, planned features (with expected dates), and partner/third-party capabilities
  • Do not use "world-class," "best-in-class," "cutting-edge," or similar unsupported superlatives

  • Do not commit to capabilities that are not generally available
  • Do not accept or agree to RFP terms in the response β€” note that terms are subject to mutual agreement
  • Do not disclose proprietary technical architecture details beyond what is necessary to answer the question
